Think about your current position, where you would like to be, and the actions required to move forward. Define what it is that needs to change and how change can help your business, yourself and your team.

How to manage change effectively

• Make sure that everyone involved understands why things need to change.

Only few industries have as much chaotic potential as the restaurant business. There is constant activity, personality clashes and your guests need to be served in a timely and friendly manner.

Seems like you will never be able to stop your worries because the bills will still come in, the day will always be 24 hours long, and your job and family responsibility will always follow you.

Right now you need to take control by understanding your responsibilities. So take control of your thoughts, emotions and how you deal with problems.

What you want is to manage your life well by doing what you like.

If you want more energy, stay calmer; to handle the restaurant industry lifestyle better and with success you should focus on.

• Mental.
• Physical.
• Spiritual.
• Health.

I would define stress management as being more like self management. To get it right you need to work on yourself to begin with:

• Find ways to feel good about yourself.
• Do everything in your power to take good care of your body.
• Have the right attitude. Do not react under pressure – for every problem there is an opportunity. Be positive no matter what.
• You have to create the right environment for you

Your body’s stress response

When there is a threat, your nervous system responds by releasing a flood of stress hormones, including adrenaline and cortisol. These hormones awaken your body for urgent action and are characterized by:

• Fast heart beat.
• Tightened muscles.
• Raised blood pressure.
• Fast breathing.
• Increase in your strength and stamina.
• Enhanced focus.

The result is that are you preparing to either fight or flee from the danger at hand.

Stress and anxiety go hand in hand. Stress accounts for 80% of all illnesses. Most of the time we underestimate stress, but you probably know what it can do to your body:

• Raise blood pressure.
• Potentially cause stroke.
• If chronic can interfere with the immune system.
• Stress drives people to an unhealthy diet, smoking, alcohol and being physically inactive.

One good way to improve your feelings of stress is to have a stress journal. When you feel stressed, get down on paper the time, place and consider the reasons why.

Once you know that you will have your own way to de-stress, which could involve one of the following four options:

• Avoid the stimulant that gives you stress.
• Modify the stimulant.
• Adapt.
• Accept.

The way you think has an intense affect on your emotional and physical well-being. Thinking negative thoughts about yourself makes your body tense.

Think first-class things about yourself. Feel excellent and tell yourself you are. Do not use these words:

• Always.
• Never.
• Should.
• Must.

These words can be self-defeating thoughts for you.

When in a stressful situation, you will react in three possible ways:

• Get angry and agitated.
• Feel depressed or spaced out.
• Feel frozen or traumatized.

Now there are plenty of inappropriate responses to stress, but only a few appropriate ones:

• Talk about it with people you trust.
• Do something that makes you feel better when you are stressed. Such as, thinking positive or distracting yourself. You need to bring yourself into balance.

When you are out at events, promote your restaurant. Tell people you will take care of them and how good your staff is. Don’t do as most managers/owners I meet nowadays do and complain about their staff too often and too much. Instead, praise them and be proud. You have to appear successful to eventually achieve success.

Hiring PR professionals is very expensive, however, advertising costs lots of money and will only have a fractional impact in raising your restaurant’s profile compared to what a good PR team can do.

Good PR works by bringing new diners to your restaurant. A PR strategy usually includes a grand opening and ongoing PR.

For a grand opening, a PR company will organise:

• Press releases and media alerts prior the opening.

• At the event they will have your biography, menu, promotional items, such as goody bags and press releases.

• Will share e-mail marketing lists.

• Work with with local chambers of commerce and associations.

Ongoing:

• They will create a plan of upcoming events.

• Team up with local organizations.

• Invite food editors from magazines and newspapers.

• Introduce a loyalty program to collect customers’ e-mail addresses for future marketing strategies.

You can do all of this yourself, but I strongly suggest investing in a PR expert within your budget, as it will generate publicity for your restaurant within your neighborhood, district and national media outlets.

The importance of the Briefing

“The briefing” is an information session that must be performed every shift, 15 minutes before opening for business. It is important that it is always at the same place, at the same time. Emphasize the importance of everyone being on time and attending every meeting.

During your 15 minute briefing, you must always use five minutes to go over service standards and encourage team members to ask questions of the group regarding service and food and drink knowledge.

Let’s look at the process of a well executed briefing.

• Outlining what you want to achieve.

• Informing staff of what is happening in and outside of the business.

• Motivate.

• Delegate.

• Appearance.

• Food testing, drink testing.

• Service standards.

Now that you know what you want from it, you need to organize yourself.

• Start on time.

• Ensure that everybody is present.

• Inform your staff about specials and any VIP customers. Have the chef and the sommelier involved to sample the specials

• Inform your staff of “86” items, (what is not in stock)

• Do the 5 minute training standards. Example: “how to take an order.”

• Before closing, provide staff with constructive feedback on the previous shift

• Always set a goal for the evening for the team to achieve. Example: could be a competition to sell the most or a common goal, like reaching the highest numbers of covers ever.

• Ask the staff if someone can add something constructive to the briefing.

• Always start with a positive tone and command that your staff listen to you. Your body language is very important, as is the tone of your voice. Practice if you need to.

Understanding people

Understanding people is crucial in the restaurant business and is one of the key factors in success.

Think for a moment you are required to deal with coworkers, customers, suppliers and competitors from all kind of backgrounds, genders and ages. Misunderstandings and conflict can easily happen.

What are people skills and how can you improve yours?

• People are individuals, with similarities and differences. For you to communicate effectively, you need to cater your communication style to your audience, by using their language, their body gestures, and their pace and intonation.

• Plan your communication: the delivery method is important and you must ensure your approach matches your audience, your goals and is relatively simple to understand.

• Speak your mind with assertiveness, as this is a useful communication tool. You can apply this rule in every context, but make sure that your behavior is always appropriate to the situation. Bear in mind, assertiveness can be perceived as an act of aggression by others.

• Alongside assertiveness, the giving and receiving of feedback is a key communication skill that must be learnt if you want to develop long-term business relationships.

• Feedback is very important, however, you need to make sure it’s constructive. First, give a genuine compliment and then some practical suggestions for improvement or development. Finally, finish with some more affirming/positive sentiments so that the person feels good about the process. This is known as ‘CRC’, or ‘Commend, Recommend, Commend’ a three-step model for giving outstanding constructive feedback.

• Listening and building a rapport and understanding other points of view are very important in influencing others. Remember, it is difficult to influence someone if they do not like you!

• Attitude is linked to action – basically emotions dictate actions, which means it is important to work on the attitude of others to obtain results.

• Conflict must be dealt with as early as possible to ensure that it does not escalate. Even if it seems like an issue has been resolved, it is important to ensure people are truly feeling better about the situation. You must also be patient, avoid being defensive and allow people to communicate their concerns, disappointments and anger. Try and resolve issues face-to-face – this will give you a better opportunity to understand people’s feelings and motivations.

• Ask your staff for their views and opinions – don’t go it alone. This will build trust and confidence and help your staff feel a sense of ownership over their role.

If you are the one entering a team as the new boss, the best way to be accepted and get the best out of the team is to start with a “job chat” with everyone. Meet with all the staff one-on-one and go through a set of questions that will give you an understanding of the business, the team and provide you with an opportunity to introduce yourself and build trust amongst team members.

Typical questions you should ask are:

• What do you think the business needs to do to increase sales?

• How would you rate your performance at the moment and what could you do better?

• What is the one thing that frustrates you about how things operate at the moment?

• If I may ask, what are your future career plans?

• How do you think you will achieve your goals and by when?

People skills are about getting the best out of individuals – follow these few steps and you will see the rewards very soon.
